GENERAL SUMMARY

This role is responsible for delivering a responsive customer experience supporting customer inquiries, administering and processing customer orders, and collaborating across teams to respond to our customer needs.


Principle Duties and Responsibilities

  • Handle and respond to customer queries through various channels in an effective and professional manner.
  • Route request for quotation to the Aftermarket Applications Engineering team.
  • Review receipt of customer orders against quotations.
  • Initiate set up of new customer accounts preparing documentation for internal approvals and entry in the system.
  • Administer the pro forma invoice process based on customer credit terms.
  • Close collaboration with the Supply Chain team for lead time and commit dates for Aftermarket customer orders.
  • Undertake pre order compliance checks and assemble sales order documentation.
  • Process sales orders for Original Equipment and Aftermarket in line with internal procedures, performing order entry responsibilities with attention to detail and accuracy.
  • Prepare and issue customer order acknowledgements.
  • Promptly communicating with customers to address queries, delivery challenges, liaising with necessary internal teams to support the customer response.
  • Update and maintain sales order and customer records.
  • Prepare timely information and reports as specified and requested by management.
  • Support internal audit testing.
  • Contribute to continuous improvement initiatives to improve processes and customer service levels.
  • Follow up with customer on any unpaid or outstanding matters to support cash collection.
  • Support intercompany transfer pricing process.
  • Other duties as required.


Knowledge, Skills and Abilities

  • Customer and commercially focussed, utilizing speed, accuracy, and accountability to service internal and external customer needs.
  • Excellent communication skills both written and verbal.
  • Ability to handle multiple tasks in a fast-paced environment dealing with multiple stakeholders, with the capacity to adapt to unforeseen work demands.
  • Teamwork oriented with the ability to work on own initiative.
  • Strong attention to detail and accuracy.
  • Process oriented.


Education and Experience

  • Relevant experience in a similar role, preferably in a manufacturing or engineering company.
  • High level of proficiency in Microsoft Office and any ERP system.
  • Third level qualification, Certificate or Diploma, in a Business discipline is desirable.
